Xero to Sage Intacct Migration

Moving from Xero to Sage Intacct: the Australian construction guide

Xero is an excellent system for businesses starting out. But when your project count grows, your entity structure expands, or your finance team is spending more time workarounding the system than using it, the migration to Sage Intacct is the right next step. LimeLedger specialises in transforming construction finance through this exact migration for Australian construction and real estate businesses.

When to migrate

Signs your construction business has outgrown Xero

1

Project reporting lives in spreadsheets

If your project margin reports are built manually in Excel from Xero exports, your finance team is doing work the system should be doing.

2

Month-end takes more than 7 days

A close that takes more than a week means leadership is making decisions on data that is 6 weeks old. In construction, that lag is where cost surprises are born.

3

WIP is calculated manually

If your WIP schedule is a spreadsheet that one person maintains, you have a key-person risk and a restatement risk that compounds with every project you add.

4

Multiple entities, multiple Xero files

Consolidated reporting across multiple Xero files is a manual process. At two or more entities, this becomes a significant finance team burden every month.

What moves across

Chart of accounts (remapped to construction dimensions)
Customers and suppliers
Open AR and AP balances
Historical transactions (agreed period)
Job and project data
Opening balances, validated before go-live

What improves

Real-time project costing, no exports needed
Automated WIP schedule with GL entries
Retention tracking with release date alerts
Consolidated reporting across all entities
TPAR and BAS from one system

How the migration actually works

A Xero to Sage Intacct migration is not a copy-paste exercise. Done properly, it is an opportunity to rebuild your chart of accounts and reporting structure around how your construction business actually operates. Here is how we do it.

1

Discovery (weeks 1-2)

We map your Xero structure, identify reporting gaps, and design the Sage Intacct configuration around your construction business. You receive a fixed-fee proposal at the end of this phase.

2

Design and configuration (weeks 3-6)

Chart of accounts redesign, dimension structure, project hierarchy, approval workflows, contract billing and reporting templates, all built before any data moves.

3

Data migration and testing (weeks 7-10)

We extract your Xero data, transform it into Sage Intacct format, validate opening balances and historical data, and run parallel testing before cutover.

4

Training and go-live (weeks 11-14)

Your team is trained, your system is live, and we stay on for post-go-live support to make sure nothing falls through the cracks.
